September Progress Update: HR Review Implementation
Over the last six months, the HR Review Implementation project team has been working through projects that will improve HR functions across the university. To date, the team has made significant progress on important work in direct response to the recommendations from the HR Review Report.
The team has also enhanced focus on service delivery and operational excellence with over 175 continuous improvement activities in the past year.
Recent Milestones and Successes:
- Pre-Authorized Withdrawals while on leave (Debit pay)
- Employee Health Services (EHS) Salary continuance reimbursement
- Implementation of SPS A1 recruitment & onboarding project
- Created a pilot model showing how to extract process metrics from PeopleSoft
- Initiated the HR Business Partner pilot
In addition to these accomplishments, the team made major improvements to the Tuition Bursary and Assistance process. A new online submission form and process was created specific to the External Tuition Bursary application. Award Spring was also implemented to manage submissions for the Internal Tuition Bursary and Tuition Assistance application.
In progress:
- Significant progress continues to be made on the Special Premium Payments (SPP) project which will streamline and simplify the process for Faculty of Health Science (FHS) departments. To date, approximately 1/3 of Faculty of Health Science (FHS) departments are using the new process.
- The Position Management project cleanup is over 79% complete. Over the summer, HR has been working with departments across the university to clean up their position management data. These departments have played an instrumental role in assisting with the project, taking the time to update their employee information in Mosaic which will play a significant role in helping the university keep and maintain accurate staffing information moving forward.
- The HR Event Form project is underway, and the team is finding solutions to simplify and improve the user experience for the McMaster community. The team has identified an opportunity to transform the process in order to eliminate paper-based issues and delays.
- FHS HR and HRSC teams are currently working collaboratively on process reviews and transactional work realignment opportunities to identify possible areas of improvement moving forward.
What’s Next:
In the upcoming months, the team plans to:
- Complete the Position Management Project cleanup and work towards creating a quarterly review process
- Replace the HR Event Form with several e-forms to improve the improve the user experience and process
- Work with UTS to deploy a new “Service Request” form for the HRSC
- Roll-out portions of the Onboarding Module project
